Officers Meeting Minutes

                                        Jan 13, 2026

I. Opening

·      Welcome …Members in attendance Maria, Nancy, Katie, Deanna, Bill, and Theresa.

·      Unanimous approval of the minutes from the November and December Officers meetings.

II. Officer Reports (page 2)

III. Ongoing/Old Business: One old business item was discussed. This was Kelly’s request for a possible revamp of our club agenda.  Kelly suggested we list club officers on a sidebar of our meeting agenda.  We decided to table this item until Kelly can present her suggestions at our February meeting.

      

IV. New Business

o  Zoom accounts: Deanna, our club treasurer, noticed that a statement from our PSNW’s zoom account reflected a credit card payment in January 2026. However, the club account is on auto pay for February 2026. Deanna wanted to make sure we were not double paying for Zoom. This was sorted out, because Nancy, our VPE, who has her own business account (not connected with Public Speaking Northwest) had made this payment. This explained the Zoom account payment notice that Deanna received.

Kelly, again, is knocking it out of the park. I just update the schedules each month and stand back in awe of her work.

VPE: 

We had no educational achievements in December.

So far in January, Kelly has completed the Persuasive Influence path.

We have a number of people right on the cusp of leveling up and/or completing a path. 

Alex has chosen Theresa as his mentor.

DPR: We are a Distinguished club with 5 points. We will earn another point when D2 logs our attendance for officer training. We have 6 months to get the rest.

1.    Payment for 2026 meeting room rental at Brightwater ($180) has been completed.

2.    D2 award dollars expense report submitted via Concur on 1/4/26. $175 D2 bucks available to PSNW. Currently awaiting approval from D2.

3.    ACTION ITEM: ZOOM account renewal (#7001131454) is set to autopay for Feb 2026 (for Feb-Feb renewal). Nancy paid for a Jan ’26- to Jan ’27 ZOOM account (# 110773934) on 1/5/26.  The acct number below is a copy/paste from PSNW recent activity so I think this is the one we are using.  We need to cancel one or the other so we are not double paying.

  • Holiday Party    PSNW will be hosting ourHolidayPartyinDec. 2, 2025,and Kelly will coordinate food for the event. Kelly will purchase some of the items, but members will be invited to bring a dish to share, if they so choose. We can get into the Brightwater facility at 11:30. So the event and meeting will run from 11:30-1:30; With food service starting at 11:45, and our regular meeting at noon. We voted on and approved unanimously a budget of $125 for this party. As part of this event, the board authorized and unanimously passed a motion to provide 2 $25.00 Amazon gift cards as prizes at our meeting. 

 

  • Gift for Celina:Celina is the facility person at Brightwater, our in-person meeting space. Last year we gave her a gift as she is always so helpful and accommodating to our club. This year we discussed giving her a $25 gift card. We voted unanimously to give her a $25.00 gift card. 

 

 

  • Elections:Allmembers agreed to continue in their present roles. We discussed the fact that other nominations would be accepted. This will be conveyed to the members. Ourelectionfor 2026 will take place at our December 9, 2025, zoom meeting.   • Meeting attendance, It was noted, by several members, that attendance at our meetings was down. Several roles were not being filled prior to the meeting. This at times caused us to scramble to find replacements at the last minute. Some of this is due to unexpected illness or work demands. But also, employees are struggling with extra work due to layoffs etc. It was recommended that mentors reach out to their mentees and check in, encouraging them to participate, if able.

See our DPR attached and appended. We met 3 goals. As soon as TI digestsTheresa's level 1, we will have 4 goals met. 

 

Meeting Roles: New Pathways meeting role expectations are very simple. You don't have to put in the dates for your meeting roles, but you can. You just check the box for each role. There is no timeframe required, so if you did the role at any point, you could check the box. That is my opinion, which makes it manageable for members and for me. Forgiveness vs Permission. 

 

New/Old Speeches:The three series from which we choose our speeches are old pre-pathways manuals. Theyinclude a speech guide and a super boring optional PowerPoint.You can create your own using the subject. I will do my best to simplify everything and break out the evaluation guide as its own document. This is very clumsy and confusing for members. If I had not done some of these speeches years ago, it would be for me too.

Everything is fantastic in VPPR Land! 

AGIANT thank youto Nancy for figuring out the new educational goals for Pathways, and to all the officers continuing for another term—what an incredible team we have! I am truly elated by our progress as a club. Go us! 

Updates & Questions: 

  • Area Director Report.As our club’s area director, I have to file my report by the end of November, and I travel next week. I will fill out as much as I can to take the pressure off Nancy . My plan is to send all the officers the link to the report in the next few days to add any additional comments. 
  • Officer Elections: 
    Did I miss an email? Is everyone returning for the next term, or do we need to recruit for any roles? 
  • Social Media: 
    • Facebook – 514 followers 
    • YouTube – 416 videos | 49 subscribers 
  • Area Speech Contest: 
    TK will represent us in theInternational Speech Contest
    Marcus has respectfully declined theDistrict Humorous Speech Contest, which leaves that slot open for another member. I suggest mentors reach out directly to those who qualify (anyone who has completed two levels of any Path). 
  • December 2nd In-Person Holiday Party Budget: 
    Since we earnedSuper 7 D2 Dollars, could we use them to cater lunch for our December 2nd in-person holiday party? Nothing fancy—just something nice, so members don’t need to bring a dish. Also, a small budget for a few prize giveaways would be great. 
  • Personal Note:I spoke at Washington Deca on the 3rdto 300 high school students presenting my new programPRODUCE Your Powerful Presence. I could not have done it without all of your evaluations and support. It was an amazing experience. Thank you all!

  •  The November 11, 2025 Meeting Minutes will be approved at our January 14, 2026 meeting.

  • Longer meeting time:  We discussed meeting times for the in person at Brightwater. Katie advised that if we extended our meeting time we would have more time to setup and takedown (and network) after our meeting.  Additionally, there would no additional cost because there is no demand for the room at that extended time. The board unanimously voted to adjust our in-person meeting time at Brightwater Center to:  11:00 am—2:00pm
  • New agenda format: Kelly suggested via E-mail that we revamp our club meeting agenda format. She referenced a link to the D2 agenda with a side bar on the left with a list of  officers.  The feeling was that new attendees should know more about the club leadership.  Kelly was not present at the meeting. Bill discussed some challenges with space on our agenda and all the detail we put into our agenda. He would prefer to keep it simple and keep it to one page (tops).  After some discussion around this we decided to table this until the January meeting.

I can now pull up and log onto our website. It went from not working, to infrequently working, to mostly working, to working. (fingers crossed) Free Toast Host was not helpful at all. My husband, however, was.

Kelly continues to be our website rock star.

Distinguished Program

We have 5 points and have achieved the Distinguished level.

Remaining points to achieve: We need 2 level 2s, 1 level 3, 1 new member (1 point), 4 new members (1 point), and 4 officers trained for Nov-Feb.

Holiday Invoice. Sent Deanna the invoice for $25 for Celina’s gift and $125 for the food.

Agenda. I would like to propose a new agenda style. I love our easy, fun agendas; however, someone brought to my attention that it is nice to have the sidebar with the officers and any important information for guests. We can still have fun with it. We can create our own banner, and there is still room at the bottom where the QR code is for fun theme images.

2026 Template/Website Updates

Updated 2026 Welcome Video. Theresa, you have the option of doing a short 30-second welcome to our club as our president. Lynne passed last year; however, Mara and Victor did great videos, which are on our YouTube channel. If you would like to participate, let me know and I will send you simple instructions.

I change the YouTube intro templates and meeting notices each year so we can visually differentiate the years.

Website homepage. I plan to add some new things to the website. If any of you have any requests, please advise.

1.    Invoice for holiday party (125) and gift for Celina (25) has been received and paid. Total = $150

2.    Upcoming expenses are payments for Brightwater room rental for 2026 ($180). Awaiting the receipt of the invoice from Celina. The cost is for reservation fee, 12x15 = 180. (room rental is free)

3.    Annual ZOOM renewal is upcoming. 159.90. Will be paid in late December.

4.    The PSNW bank account balance is $1150.37 on 102/7/25.

Nothing new to report, except to recognize Kelly's Over The Top Holiday in- person meeting Dec. 2. And to note our presentation

of the appreciation gift to Celina at Brightwater.

1.    I made a name tag for Ram.

2.    I sewed on a new ribbon to our banner, “Home of the Area Director.”

3.    Suggestion: What if we scheduled an extra hour on our room rental? It would not cost us anything additional, and we could manage a potluck/party more easily with more time.
