Officers’ Minutes from July 7, 2020 to December 1, 2020

7/7/20

 

Attendees: Barbara Katz, Nancy Carpenter, Kate Morris, Lynne Dauenhauer, Jim Tracy, Jean Tracy.

 

Old Business: We need a VP Public Relations Officer.

Officer Reports with Discussion of Building and Retention of Membership Blended in:

·       President – Barb and Kate will reach out to guests to chat either before or after our Zoom meetings.

·       VPE, Nancy – Volunteered to purge Meet-Up of past members to bring the cost of Meet-Up down. Jim and Nancy discussed using Zoom during the week to chat with new members, work with protégés, and meet with other members.            

·       VPM, Kate - Kate will attend officer training toward the end of July. Kate, being a new officer, is learning her role. She wants to know when we reach out to guests and non-attending members.     

·       VP PR - Nancy will be the VP PR and Kate volunteered to assist her.

·       Secretary, Jean is learning her role. Jean will contact Hana and let Kate know.

·       Treasurer, Jim announced we have $540.99. He will give us a 6 month report. Jim will contact Tobias to help him join with Zoom.

·       SAA, Lynne volunteer to host Zoom when Nancy cannot attend.

Nancy sent a detail update on her agenda items. They are attached.

Nancy also alerted us to TI’s international Facebook Groups page where we can invite, ask questions, make announcements, give and receive information from TI clubs around the world.

Kate clarified her role as VP membership on our club facebook site.

Suggested removing pictures from our facebook site and complimented Nancy on her attractive quotes. Two pictures were deleted.

Jim’s report is attached. We have $508.30 in the treasury.

He brought up Nancy’s suggestion to discuss whether to cancel Meetup and save money.

Jean will send new members, like Lucelly, the lists of goals and mentor possibilities since Lynne is on vacation.

 

·       Barb will cancel Meetup. Barb will also contact Todd Cudeback,DTM  to be added to list of clubs welcoming Rotary members.

Officers’ Minutes 9-8-2020

 

Attendees: Barb, Jim, Lynne, Jean

 

Old Business: Barb is still looking into how to end our connection to Meet Up. She will Google it. Barb also suggested we create a handbook for #’s 4 and 5 below.

Officer Reports with Discussion:

1.    VPE, Nancy was on vacation but left a long list of what she has done as VP Education. We can discuss it when she returns.                                              

2.    VPM, Kate was absent but also brought us up-to-date on what she accomplished and is also working on.         It can be discussed at our next meeting.                           

3.    VP PR, Nancy – See Nancy above.                                               

4.    Secretary, Jean brought up the need to have documents that tell future officers how to post on our blog, on Facebook, etc. We will discuss it further when Nancy returns. She’s the expert.                                     

5.    Treasurer, Jim discussed a similar need to Jean’s, regarding treasurer information. He was concerned that our website documents maybe unsafe for the treasurer information.

Jim reported that we have $534 in our treasury.

Barb said Robert had suggested we no longer charge members a club fee because we aren’t buying rewards and supplies.

The officers agreed to keep charging members a club fee because Zoom costs $16 a month and the bills had already been sent to the members and 8 have already paid.

SAA, Lynne will host Zoom and Nancy will be her back-up. Lynne learned at an officer training that being a Zoom host fit with being Sergeant at Arms. She suggested we have a second back-up.

Lynne announced that Robert and Kate have agreed to be mentors.

Jim suggested we use our online Toastmaster Magazine’s articles to recommend to our protégés when appropriate.

Officers’ Minutes –10.06.2020

 

Attendees: Barb, Jim, Lynne, Nancy, Kate, Jean

 

Old Business: Barb sent an email to Meetup saying we won’t renew nor pay  the bill they sent. We’ll see what happens because they don’t make it easy for clubs to know how to leave Meetup.

Officer Reports with Discussion:

1.    VPE, Nancy sent us our TI’s DCP report. It showed we have 4 DCP points and Nancy said we can easily get more before the year is up. She also sent our club calendar.

She will do our mentor pledge with our new protégé and will congratulate Lucelly with a certificate for achieving level 2.

2.    VPM, Kate said we have 12 new inquiries, 6 attended a meeting as guests, and 2 may join. Good work, Kate.        

3.    VP PR, Nancy If there were PR ideas, I missed them.                       

4.    Secretary, Jean  suggested our club make use of Facebook Live, a platform for our experienced members to speak and get known. Barb asked Jean to work on sending out information to our members.

5.    Treasurer, Jim stated that we have $640 in our treasury. He also created a document to help an incoming treasurer learn the duties and how to sign into our account at the bank, send bills for dues, handle different methods of payment, and pay TI, etc.

6.     SAA, Lynne shared that hosting zoom is running smoothly. She stated her appreciation that Nancy set up our zoom link to remain the same through August 20, 2021.

 

She will also use a thumb drive to help new officers’ find the specific admin in charge of helping them sign into their duties whether on the website, blog, Facebook etc. Thank you, Lynne for accepting this important responsibility.

Nancy has also posted documents on our website with vital officer information. Just open Member Downloads scroll down to 9.1. Thank you, Nancy for all your work in creating these documents.

Lynne, as Mentor-in-Chief, will host a meeting next Tuesday at 10:45. She will send out a questionnaire this week to all mentors in preparation for the meeting. Again, Lynne, thank you for taking on this important role.

Officers’ Minutes – November 3, 2020

 

Attendees: Barb, Lynne, Nancy, Kate, Jim, Jean

 

Old Business: Barb – Meet-Up

Officer Reports with Discussion:

1.    VPE, Nancy shared our DCP points. Currently, we have 16 members and 4 DCP points. She showed how we are on the path to all 10 points.

 

2.    VPM, Kate told us that Midori and Bob may join soon.

 

3.    VP PR, Nancy added a great picture with a quote to our Facebook page.

                                       

4.    Secretary, Jean wants to share her role as secretary when we have 2 meetings. She’d like to divide the minutes – one person do the officer meeting and one do the regular meeting. Any takers?

 

Jean also shared that Mara, Nancy, Jim, and Jean met regarding Facebook Live. It would be used to showcase our fine speakers and  to promote them and our club. They will do a dry run this Thursday, November 5th, to learn both the technical and speaking requirements.

 

5.    Treasurer, Jim said Meet-Up automatically took a 6 month payment from our account to the tune of $99. Barb and Jim will work on solving this problem because we no longer want to be Meet-Up members.

 

6.    SAA, Lynne shared our club’s program repository that must be passed on to new officers for running the club effectively. Lynne put it on a thumb drive and suggested she, as Sergeant At Arms, and Jean, as Secretary, be the holders of this repository. When their terms are up these thumb drives will be passed on to the next SAA and Secretary.

 

7.    President, Barb was alerted by Nancy that we need to vote on new officers by the end of December. Officers, except the president, may volunteer to continue their role. To get credit as a club officer for the DTM officers must serve at least one year. (Perhaps we should discuss giving the president a one-year term to achieve the DTM too.)

Officers’ Minutes – December 1, 2020

 

Attendees: Barb, Nancy, Kate, Jean, Jim, Lynne

 

Barb had the minutes from November 2020 approved.

 

Officer Reports with Discussion:

 

1.    President, Barb asked which officers were willing to keep their positions. All the officers except Jean, our secretary, will renew for the next 6 months starting in January. Jim would like to train a future replacement even though he is willing to serve 6 more months.

 

When our meeting time ended,  Barb said there was more old business to discuss but we didn’t have time. Stayed tuned.

 

2.    VPE, Nancy showed in our Distinguished Club Program (DCP) on TI that we are now a Distinguished Club. She said it should be easy to achieve all 10 points for President’s Distinguished (we need 9 or 10 points altogether).

 

Nancy mentioned the best Pathways information is in our website’s ‘Members Docs.’ Look for both District 4 and District 65 they are fabulous.

 

3.    VPM, Kate added Midori to our membership and agreed to be her mentor. Kate is unsure about Bob Brown. He hasn’t sent in his application yet. She said Glenn has been absent because he is ill.

 

4.    VP PR, Nancy showed how she has made our Facebook page fun, attractive, and interesting. There’s even a Star Trek picture to dazzle visitors.

                                                 

5.    Secretary, Jean wants to hold another meeting with our Facebook Live group. She said our first video had over 200 views. (Actually, it had 290 views as of December 2nd.)

 

6.    Treasurer, Jim shared that we have $976.46. Willows Voices had sent us $496.97 for their portion of Meet Up expenses.

 

7.    SAA, Lynne discussed 3 gift cards as a ‘Thank you’ for our January -to February and possible future meeting space at ISO. She will send them to Andrew and the CEO’s. First, she will check with Andrew for their addresses. Jim proposed $25 for the gift cards. All officers agreed.

Public Speaking Northwest Minutes – December 22, 2020

Need Leadership Skills? Learn Them at Toastmasters. 

 

Mission Statement & Flag Salute: Lynne promptly opened the meeting on time.

 

Our President: Nancy, with vigor and warmth stepped in for Barb.

 

Announcements: Our next meeting will be on January 5, 2021.

 

Our Meeting Toastmaster: Mara’s theme was “Holiday Party.”

 

Grammarian and Word of the Day:  Kate’s word for us to use, in keeping with Mara’s theme, was “Festive.”

.

Ah Counter: Kate did the difficult task of listening well and counting our filler words.

 

TimerLynn kept each speaker on time with green, yellow, and red signs.

 

General Evaluator: Warren listened to the whole meeting to notice what went well and how we could improve.

 

Our 1st Speaker: Midori gave her very first talk called the ‘ice-breaker.’ Her personal goal was to speak clearly. She said she is, “very comfortable being uncomfortable speaking English.” (She spoke so well.) Midori moved from Tokyo, Japan to the United States several times due to her husband’s job.

 

“Learning a foreign language is very difficult,” she said. She studied English many times throughout her schooling even at the university level. She taught us a Japanese word at the end of her speech. It was her name, Midori, which means “green.”

 

Our 2nd Speaker: Nancy’s title, “Create an Opening,” used the wise saying for talks and essays:

 

1. Tell them what you’re going to tell them. (Introduction for the talk)

2. Then tell them.(Body of the talk)

3. Tell them what you told them. (Summary of the talk)

 

Nancy shared many examples with different openings that ‘hook’ the audience, like:

 

1.     State something important about the topic.

2.     Make a startling statement.

3.     Arouse curiosity.

4.     Tell a story or anecdote.

5.     Ask a question.

6.     Recite a quotation.

7.     Recognize a special occasion.

8.     Give a demonstration.

9.     Use an historical event.

 

Like the VP of Education, she is, Nancy is teaching us speaking skills from the Better Speaking Series. She ended her talk by saying, “The opening of a talk is the launch pad.” Nancy took off like a rocket and landed her talk perfectly.

 

 

Our Table Topics Master: Jean kept the theme by asking members about their favorite holidays. She asked our guests to speak and they all took the risk.

 

Sara loves attending her family’s Thanksgiving dinner and eating delicious deviled eggs. Her family lives in the Midwest.

 

Kameh is from Iran and described her family’s celebrations.

 

Simbu, from India, said they celebrate the new year somewhat like we celebrate Thanksgiving.

 

Angel, from Puerto Rico, described going from door to door singing and giving the young children presents. He is Lucelly’s brother.

 

Jutta, our member, loves summer holidays because he goes camping with his kids. While camping  they go biking, play sports, and everyone cooks together.

 

Our 1st Evaluator: Jim mentioned Midori’s name and liked knowing it meant, ‘green.’ He complimented her on her:

·       Gestures

·       Excellent pacing which made her talk “very clear.”

·       Her magnetic smile.

·       Her summary in which she mentioned living in the Evergreen State which matches her name.

He suggested she continue to practice pacing at the rate she did today because she was easily understood.

 

Our 2nd Evaluator: Robert enjoyed Nancy’s “Tell them” advice. He found her anecdotes helpful and good. He complimented her on the variety and amount of her openings. Robert suggested she adjust her camera. Overall, Robert liked Nancy’s holiday halo headdress and her hand gestures.

 

General Evaluator: Warren had praise for everyone. He liked Mara’s agenda and her preparation as toastmaster. He noted that Lynne always starts the meeting on time.

 

Warren liked how Nancy welcomed guests and how Mara explained the GATE team so our guests would understand. He appreciated that the ‘Chat’ feature was also discussed, and that Jean explained the purpose of Table Topics and chose those who didn’t have a speaking role.
