Meeting Minutes - March 30, 2021


Announcement: REMINDER - The Zoom Open House next week on April 6th. This would be a great opportunity to invite our friends and family to check out our Toastmasters club and see what you’ve been doing this year.  We’ll have a great guest speaker, Todd Cudaback, speaking on “How to Craft A Speech”.  If you can, go to our Facebook page, share the invite, and select “going” on the invite. 


Also, every 1st Tuesday of each month, we have our officer's meeting that starts at 11 AM. If anyone wants to attend and listen in to see what we do, you are welcome to attend using the same Zoom link.  


PLEASE forgive the lack of details in today’s Meeting Minutes notes due to the WiFi connection issue on my end.  Here are the bare bones of the meeting today.


Our Sergeant at Arms, Lynne, promptly opened the meeting on time with our mission statement, flag salute, and reminded members and guests that the speech and evaluation part of our meeting are recorded. 


Our President Barb introduced the VP Education Nancy to review roles for the next meeting and introduced the Toastmaster.  


Our Toastmaster was Lynne with the theme “LISTEN!!!”

Our 1st Speaker was Midori with her speech entitled “Virtual Japan Trivia Quiz”. She is working on her Presentation Mastery Pathway; Project 1 (5-7 mins)


Our 2nd Speaker was Kameh with her first Ice Breaker speech entitled “Little Hope”. She is working on her Presentation Mastery Pathway; Project 1 (4-6 mins)


Our Evaluators were Warren (evaluating Midori) and Glenn (evaluating Kameh). 


Our Table Topic Master was Giri.

Announcement: Friday 3/26/21 from 12:00 PM - 1:00 PM, Giri will be putting together an interactive speech on how we can unlock and unleash our creativity and potential. He will teach us how we can apply techniques from his speeches to practical problems. Please join and support him on his Level 4 project. Please invite anyone you think might be interested. It’ll be the same Toastmasters zoom link.

Kate, our VP Membership, reminded us that we’re in the middle of a membership drive and to invite your friends, family, coworkers, and/or anyone you think would enjoy and benefit from Toastmasters to check out our club. We’re trying to get at least 20 members and we currently have 18. The Zoom Open House on April 6th would be a great opportunity for guests to check out our Toastmasters club.  We’ll have a great guest speaker, Todd Cudaback, speaking on “How to Craft A Speech”.  If you can, go to our Facebook page, share the invite, and select “going” on the invite.

Our 1st Speaker was Kristin with her first Ice Breaker speech entitled “An Executive Assistant in the Making”. She is working on her Innovations Pathway; Level 1 (4-6 mins)


Our 2nd Speaker was Giri with his speech entitled “Turn on Your Peak Performance Switch”. He is working on his Motivational Strategies Pathway; Level 3 - Inspire Your Audience (5-7 mins). 


Our Evaluators were Jean (evaluating Kristin) and Kate (evaluating Giri). 


Our Table Topic Master was Warren.  


Our Table Topic Speakers were:

Glenn, looking back, tell us of a competition memory you had. Glenn had a bad memory with wrestling. He had 1 match and it was over so quick that he only remembered looking at the ceiling. It was fun to be part of a team and he made friends.

Lynn C, earliest memory of cooking. Her family is not the “I’ll teach you how to cook and bake” kind of family so no childhood memory. She doesn’t do well in reading instructions so baking is not her type of cooking. Her type is to create as you go.

Midori, what is your philosophy of life that makes you how you act today? Her father's philosophy is to take care of things and shouldn’t waste anything. If things are still usable, use them to the end and not waste anything. It has been an act she still uses today.

Hannah, what is your earliest initial impression of going to school and being taught with other peers? She remembers sitting down next to someone that ended up being her friend throughout the school years. She remembers chocolate chip cookies being brought to class and she thought school would be cool and it’s been wonderful after that.

Announcement: April 6th is our Zoom Open House. Our guest speaker that day will be Todd Cudaback with the speech “How to Craft A Speech”. We’re also doing a membership drive so please invite people. If you can, go to our Facebook page, share the invite, and select “going” on the invite. 

Saturday 3/20/21 at 1:00 PM, Jean will be participating in the speech contest. She will send out the link. Come support her if you can. 

Jim our Treasurer reminded everyone to pay their dues if they haven’t done so already.

** Everyone in this group is wonderful about helping each other. You can reach out to anyone, not just your mentor for help with anything **

Our 1st Speaker was Robert with his speech entitled “My Comic Style”. He is working on his Engaging Humor Pathway; Level 2; Project 1, Know Your Sense of Humor (5-7 mins)


Our 2nd Speaker was Mara with her speech entitled “A Story For Any Occasion”. She is working on her Engaging Humor Pathway; Level 4 (8-10 mins total). She is actually doing 2 speeches and both are unprepared. Warren will put Mara in 2 situations or ask her a question and introduce Mara to speak on it. She will speak to each for 2-3 mins. 1) Our company is having a merger, Mara will introduce the changes. 2) We’re having an open house, Mara will tell you how Toastmasters has enriched her life. 


Our Evaluators were Giri (evaluating Robert) and Jim (evaluating Mara). 


Our Table Topic Master was Lynn C.  


Our Table Topic Speakers were:

Glenn, If you had extra time in a day, instead of 24 hours/day, you have 26 hours/day, how would you spend your time and what would you be doing? Due to COVID, Glenn feels he has more time than he needs. When he was a graphic designer, 6 projects was the perfect amount. If he had 3-4 projects, he would slack. If he had more than 6 projects, it would be too much.

Lynne, if you were a time traveler and can go back in time and revisit any part of your life, what part would you revisit and why? Lynn would go back to when she was 23 years old and was a student teacher at Ingraham High School.  She didn’t enjoy it back then. She would come back enjoying it more.

Nancy, How do you start your day? What part helps start your day? And how has it evolved throughout the years? During her college years, she would drag herself out of bed. During the young professional years, she would do a quick drive-thru for breakfast and rush to work. And now, she lays in bed and connects with her Chakra. She resists the urge to look at her phone.

Kristin, If you could change your career, what career would you aspire to do? She would work in a non-profit even though it’s a pay cut. Maybe volunteer in mental illness and get a Project Management Degree.

  • Barb started our meeting by congratulating all of us. Our District 55 Caryn mentioned how well organized and professional we are at our club.

  • Nancy, we need 2 new members or completion of Level 1 by June 30th. 

    • She spoke to Warren after the Evaluation competition and he thought it was cool to evaluate a new guest speaker that he was not comfortable with. 

  • Mara, everything is moving along. She posts weekly on Facebook. Kate and Mara have a meeting set up for tomorrow to talk about how member drive and PR can work together. 

    • It would be a good idea to put more faces on Facebook but will need approval first.

  • Kate, we have 1 new member since our last Officer meeting (Kristin Gulledge) making it 19 members total.  Hannah requested an application but has not turned it in yet.  Kate will reach out to Jutta to see if he’s planning to renew. Jim reached out to Adeline via email earlier this morning but has not heard back yet.  If we exclude them, we have 17 members total.

  • Lynn C will be traveling out of the country for a month from 3/28 - 4/26 and plan to attend every meeting but cannot guarantee a good wifi connection. She asked if there’s a backup Secretary. There is no automatic backup Secretary, you simply ask if anyone is willing to volunteer when needed. Mara and Nancy volunteered to take on the role if needed.

    • She will try to do better at getting the Meeting Minutes out sooner.

  • Jim and JinXin are collaborating to try to get to the same page in the Treasurer role transition. 

    • 9 members paid already and they are good through September.

    • $200 fraud credit was received.

    • End of February balance is $1,222 with a lot in pending.

    • There is a $57 PayPal payment to the club with a name that he does not recognize. Jim will bring it up during our meeting. He can also walk people through how to check your profile on the site to see if you are covered thru September.

  • JinXin called Jim but could not get a hold of him. They will set up a time to meet.

  • Lynne reaches out to Shannon (Manager of ISO) via email every month to let her know we’re still here so we won’t lose the room. She heard back from Shannon and we are still good with the room.

    • Not sure why our Zoom link is set to expire in June and not August. Nancy will look into it.  

    • Mara mentioned, per Zoom support, use the “No Fix Time” option to fix this issue.

    • Recordings are going well. Caryn (District 55) brought up in our last Toastmasters that she observed we were recording and suggested we let the members know ahead of time in the beginning.  Barb or Lynne will announce it at the beginning of all our meetings from now on. Mara suggests putting the recording announcement in the Pledge of Allegiance Powerpoint deck slides to read at the start of all our meetings as an option. Lynne thinks that’s a great idea.

    • Lynne asked if anyone is interested in being the backup Zoom host and Mara volunteered.

 

Old Business

Meetkup.com - Jim, did we get an invoice from them? 

  • Jim, no we did not.

  • Kate mentioned we are still getting inquiries on Meetup even though we are not a subscriber anymore.  Kate will reach out to them and capture their email address for PR

  • Mara suggests sending a message through the Meetup site regarding the membership drive.

 

Facebook online project

  • Mara - not sure if Facebook Live is getting more traffic or Likes. She thinks a 1:1 interview-style might be a post. She is less inclined to put speakers on Facebook.  Barb suggests maybe posting a recording of the whole Toastmasters meeting from beginning to end so that people can get an understanding and expectation of how joining our Toastmasters club would be like.

Service award for a member of our club

  • Barb complimented how so many people go above and beyond in our club. There’s a Spark Plug Award available, but how do you give 1 award to so many members deserving of it? Nancy, Kate, Mara, Lynne, Jim, and Jean (the creator of our club). I say this is a good problem to have :-)

 

Barb reminded everyone to start thinking of whether or not they would like to continue in their current Officer role for the next election. As well as start thinking of who would be a good fit to take on your role if you decide to not do it anymore come June.
