Officers' Minutes - April 6, 2021

 Officers’ Minutes - April 6, 2021

Attendees: Barb, Kate, Jim, Lynne, Mara, Lynn, Nancy

Barb had the minutes from March 2021 approved.

Officer Reports with Discussion:

Officer Reports:

  • President: Barb

  • VP Education (VPE): Nancy

  • VP Membership (VPM): Kate

  • VP Public Relations (VPPR): Mara

  • Secretary: Lynn C

  • Treasurer: Jim & Jinxin

  • Sergeant at Arms (SAA): Lynne D

  • Nancy, sent out an email with the attached DPR. If we can get 3 more members by the end of June, we will be a President’s Distinguished Club with a perfect score of 10.  Jim gave us our last needed education achievement.

    • Webmaster: Nancy added the next meeting role assignment to the sample agendas in Web Member Downloads. Brilliant idea, Barb.

  • Mara, updates Facebook regularly. She’s working with Kate to drive membership. We should encourage our own members to bring someone in.

    • Any suggestion on giving Todd (open house guest speaker) something to thank him? An Amazon $15 gift card and chocolate bar? Mara put in motion to give the guest speaker a $20 gift. Jim in favor.

  • Kate, 17 members currently, 3 did not renew. Since we’ve been online, we have had 8 new members. There’s been a steady stream of inquires

    • The Roaster includes current members. Mara and Kate were thinking of sending out emails to join our club. On the Toastmasters email distribution, there are members (all current members), officers (all officer members), and All (all current and former members).

    • Mara request to clean up the Roaster emails. Nancy in favor.

  • Lynn C., asked if she should include the member’s last name on the Meeting Minutes. It doesn’t seem necessary.

  • Jim, the balance as of March 31, 2021, is $1,085.18.

    • Treasurer District 2 steps are complicated.

    • Yes, we can afford a $20 gift for the guest speaker

    • No random charges on invoice since new credit card.

  • Lynne, zoom going well with the recording of speech and evaluators. She has a system set up now that’s going well and have also received compliments. Lynne asked how her Intro is and everyone agrees it is great.

Old Business

Facebook online project

  • Nothing new

Jim suggests Barb invite her other Toastmaster club Willow’s Toastmasters to cross join our club. They have 17 members as well.  Willow’s Toastmasters meets at 7 AM every Friday.

New Business

Needing additional zoom backup for Lynne training. She might be gone in the summer.

  • Mara volunteered to be the backup. She also suggested training a group of people interested. Lynne agrees that’s a good idea.

Membership Campaign

  • Kate, it’s been put aside to see what happens at the Open House.

New Officers - June is our Officers re-election. Should we start early looking for someone to take on our role?

  • Barb, asked if JinXin still training to be Treasurer?

    • Jim, yes. The steps are difficult and he’s working on creating documentation.

  • Giri for President?

  • Lynn C is willing to stay as Secretary but doesn’t know if her new job role in the future might make it difficult to attend all the meetings.

  • Kate will stay on as VPM

  • Lynne is open to stepping down to open the position to new members but is also happy to continue.

  • Mara suggested Kristin be Secretary and Lynn C. be President

  • Nancy has no idea who would take her position.

Mara suggests a hybrid meeting so we won’t lose members that can’t go into a building. Maybe do 2 zoom and 2 live a month?

Mara mentioned that Kristin asked about Toastmasters magazine.  Jim said the magazine is history pre-COVID. It’s online now.

Motion to adjourn.

Secretary,

Lynn
