August 11th, 2026, Officer's Meeting Minutes - Pending Final Approval

Public Speaking Northwest Officer’s Meeting Notes August 11, 2026 Decisions made: • July 14, 2026 Meeting Minutes have been approved • $75 approved for September events: $50 for in-person refreshments/dessert + $25 Amazon gift card raffle for the following online meeting. (Deanna made the motion, Kelly – second) • Officer reports will continue as individual emails to all officers (current format retained; proposal to consolidate was voted down). • Meeting agenda for officers' meeting email will be shortened, since officers’ reports will no longer be attached to the email. • Club speech competition: We will do the International Speech Contest only (no district contest), online November 10th; winner presents live at the December 1st Christmas party. Action Items: • Kelly will produce a video recap of club achievements to play at the September in-person meeting and repeat the following week. • Deanna will follow up on tags for new officers and DTM tag for Kelly (within next 3 days) • Club Success Plan due end of September — Kelly to initiate and share the link and others to fill in. • Need to confirm the number of speakers allowed to advance from club competition (1 or 2) — Kelly to verify district rules. • Officers’ training: we should verify whether the District 2 "Super 7" award has been renamed/restructured and if an incentive still exists for all officers completing training. Speech Competition Question • Did we officially decide to hold the speech competition at the online meeting in November because we usually have more members at online meetings to vote? I have the date tentatively as November 10th. Nancy Carpenter, VPE Webmaster: We are awaiting the implementation of the latest upgrade of FreeToast Host. Most of the changes have to do with their online agenda, which we do not use. VPE July/Aug July 6: Theresa completed level 2 of Presentation Mastery Aug 5: Alex completed level 1 & level 2 in Presentation Mastery Aug 6: Maria S completed level 1 of Presentation Mastery Online Meeting Mastery is not a path, but an exploration. Cannot be used toward a DTM. Public Speaking Northwest Toastmasters In-Person Meeting Minutes August 4, 2026 Theresa Haynes, former president, stepped in to replace Bill Hinrichs, President and kicked off our meeting. Our Toastmaster was Deanna Schroeder, Treasurer, with the theme “Board Game Blitz” Deanna passed the roles sign-up sheet and reminded everyone to take on roles. Deanna Schroeder led us through the Club Mission statement and Flag Salute.   • Approve June 9, 2026 Meeting Minutes with changes to bank balance $1311.68 to correct a previously made typo. Approved unanimously.
  • Welcome our newest officers, Jeff Makita, Sergeant at Arms and Maria Shneerson, secretary
  • Maria Cubacha will mentor Raxit Jani

II. Ongoing/Old Business

Plaques for Katie and Jean ordered, and DTM pin for Kelly, upon arrival, to be presented at the September 1, 2026 in-person meeting.

   Agenda Changes discussion:  Maria Cubacha , Nancy Carpenter, and Kelly Falluca

Following up on Katie’s suggestion from May/ June, we have been discussing changes to our PSNW agenda to make it appear more professional. Several ideas have been considered. Maria recently attended a training course on this.

Motion to delay the decision. Approved unanimously.  

III. New Business

   With new officers in place name tags can be ordered for those who want them through TI INTL.   (DTM badge for Kelly).

Maria and Jeff agreed to have Public Speaking Northwest on their tag.

Kelly suggested we hold the Halloween party on line date TBD

Discussion to hold Holiday party on Dev 16. Approved by the majority.  This will be in the larger room at Brightwater Center.

 

 IV Officers Reports 

VP Education and Webmaster: Nancy Carpenter

Webmaster: Our intermittent email distribution list outage hit Theresa about a week or so ago. It fixed itself.

 

FreeToastHost agenda function was discussed at my training as well. What VPEs found was that people have to log their speeches in FTH and are loath to log them in Pathways because it seems like they already did it. I have been at meetings that use the FTH agenda and I found them to be cluttered with text and very small print. I like what we have, though I should look at what Katie put together for her recent version. She mentioned using blocks, so the text won't be so squirrely. 

 

VPE:

Our final DPR is attached. We accomplished President's Distinguished. Kelly's DTM counts on this one, not our new year.

 

So far this Toastmaster year, all 2 weeks of it, we have Theresa with a Level 2 in Presentation Mastery.

 

Mentors: Raxit would like to have either Maria C or Theresa as his mentor. I have inquired which one of them is ready for a new protege. I am about to contact Dhwani and get her going on her search for a mentor and get her oriented.

    • August. I proposed to Bill that if the plaques for Katie and Jean are ready, we could have an in-person awards party on August 4th then online August 11th, celebrating Katie, Jean, my DTM, and all of our club’s educational awards.
    • Our holiday celebration in December. We plan to meet in person in the larger room at Brightwater Center on December 1st. We could have the online holiday party December 16th or earlier.
    • Halloween party. I believe we decided last year to hold the Halloween party online only, since the first week of October felt too early. Please correct me if I am mistaken.
  • Officer Training. I am taking the D2 Officer Training on Wednesday and teaching social media on the 18th to acquire the 3 points needed for officer training.

      Elections: Will be held at our June 16, 2026, meeting. We have a full slate of proposed officers.  An E-mail will be sent out advising of this slate. The E-mail will also explain that anyone else interested in running a position should advise a board member.  The deadline for notification is Friday June 12, by Noon.

Funding for plaques:    At Kelly’s suggestion, the board discussed the issuing of Toastmasters plaques for long term members.  Nancy provided Bill with a link to the TI fulfillment dept. They offer 2 types of Plaques.  The fancier one is wood and not that much more expensive. $15 vs $10.  Lettering is .10 per letter.  Bill will order the plaques. The board unanimously approved this allocation of not more than $50 for each plaque.   2 plaques were recommended.
Agenda Change: Katie suggested we make a change to the agenda.  She would like to see the last names of the GATE team and other members on the agenda.  Bill raised concern that all that might not fit.  Katie will work with the formatting.  of the agenda.
V.  Announcements: Katie announced that she has completed a Level 3 path and once she records this, we will be a President’s Distinguished club.

Deanna reported a current balance of $1311.68.  She advised that the Benevity program is going well, and we just received $100 through this program.  We discussed the possibility of sending Thank You notes to participating businesses but decided against it.

Supplies
The club has sufficient supplies on hand for the next six months. I believe that all of our current members have name badges. Please let me know if you notice that someone is missing one, so I can print one.
The Next Sargent at Arms
Recently, Katie announced that she was finding moving the PSNW Sargent at Arms supplies difficult. Bill immediately stepped up and relieved her of the supplies. (Thanks Bill!)
Bill reached out to Jeff about the possibility of assuming the role next year. At first, Jeff declined, and Deanna kindly stepped up to take responsibility for the supplies for the year if someone continued to cover the other responsibilities of the role (Thank you, Deanna!
Then Katie called Jeff herself. He mentioned that he would like to take the role, but he is in the midst of interviewing for a new job and doesn’t know yet what his future schedule will be. He doesn’t even know if he can stay with our club, or if he will need to transfer to one that meets at a different time. He agreed enthusiastically to run for the Sgt at Arms position, with the understanding that a new job may derail that plan.
Because of the caring and teamwork of this club, we now have a Sargent at Arms candidate (Jeff), AND an emergency backup plan (Deanna and Katie).
