 Officer’s Meeting Minutes March 10, 2026
        
Attendees: Deanna S, Katie M, Nancy C, Theresa H., Bill H., Kelly F and Maria C 
President Theresa opened our meeting. The Division contests are March 14 and Katie will be the toastmaster for one of the sessions.

III. Ongoing old business:    Maria and Deanna have been working on this program where PSNW club members who sign up with Benevity, can get credit for their volunteer hours. If the employer of the member offers this benefit, these volunteer hours translate into “donation currency, "The employer would then make a monetary contribution on behalf of the eligible employee to Toastmasters International.  The donated funds would then be transferred to our PSNW Toastmasters club account. Maria offered to give a speech outlining how her volunteer hours translate to a contribution by her employer to our club.
Deanna, our treasurer, indicated that all steps for Benevity are complete and our club is approved. Toastmasters Intl. 9406. This was tested and we recd. The following from Benevity:
Thank you for submitting your volunteering opportunity Club officer roles at TI 9406 to Benevity — we’ve received it!                                                                             We will release necessary steps for members to use this program at a future date.
 
IV. New Business Katie discussed the need for new name tag holders as our old ones are being depleted.  She noted that her other club has some which are well made.  After discussion, a motion was made to purchase fifty name tag holders for $28.49.  The board voted unanimously to proceed with the purchase.
Kelly and Katie, 2 of our area governors discussed purchasing a gift basket on behalf of PSNW for the D-2 conference May 16, 2026. After discussion, a motion was made to allocate $80.00 for this basket, which will include a gift card and some other items.  The board unanimously approved this expenditure.
Deanna reminded officers that club and international dues are due this month for Early Bird by March 31, 2026 to get some D2 incentive dollars. She encouraged using Zelle for the $12 club portion and the TI website for the international portion.
Deanna also mentioned that the D2 Promote Award for $25 is a new incentive. And once it appears on the tracker, she will submit some of Kelly’s work to secure these dollars for our club.

Webmaster:  All is well. My own computer has a love/hate relationship with our website which continues to be a mystery. Luckily, I can access our schedule spreadsheets via Google and I can do other things via my phone.
VPE: DPR & Club Calendar are attached.
Bill completed level 4 of the Presentation Mastery path.
I will do a speech for a local women's group next Monday. I will have it evaluated and I will claim it as the final speech in level 2.  
After my level 2 is complete, we need 1 level 2, 1 level 3, and 4 new members to have a perfect score of 10 points.

  • District 2 Award Nominations. I sent an email to the membership regarding voting for best club awards. Note: I will not be attending the May 2026 Conference due to travel.
Public Speaking Northwest #9406– Treasurer’s Report

·        1. TI/PSNW renewal fees due on or before 3/31/26. early birds with both payments complete are Nancy, Deanna, Katie, Kelly, Maria C., Maria S. 1of 2 payments complete are Jean Tracy, Chirag, Ravi. NOT returning are Brian M., Warren L.
·        2. Benevity registration is complete. Deanna initiated use via a small employer matched Benevity donation. Maria C. may be logging volunteer hours. Waiting to experience a completed cycle (donation received) before going further with Benevity use.
·        3. D2 PROMOTE award ($25) has been announced but not listed as an incentive on the incentive tracker yet. When added to D2 site, I will submit some of Kelly’s work for the PROMOTE award.
·        4. The PSNW bank account balance is $968.22 on 3/9/26.
 
Secretary/Scribe: Bill
Nothing to add from the Secretary / Scribe dept; Other than the TI mail system is very temperamental and has issues. However, these issues sometimes resolve themselves later.
Sergeant at Arms: Katie
I would like to purchase some more name tag holders. We have plenty of lanyards, but we are running low on the actual plastic holders.
As Sgt at Arms for two clubs, I inherited five different name-tag styles and systems. I’ve learned that some cheaper products look shabby.
This product appears to be what we have been using (which has been good quality) and this product also has good  reviews. It’s
$28.49 for 50, and that should keep us supplied for years to come.
