Officer's meeting 

Present: Mara, Nancy, Jean, Julia, Giri, Uliana.

- New member welcome packet. Lynne started, Nancy took over. She showed us the 1st welcome page, we discussed it. Approved it. The other two pages Nancy presented were intended to be emailed to new members, only the first page will be handed out as a paper. We discussed and approved those. Mentors will have one of those papers as a guide to help their mentees. With these guides new members will get familiar with PW, not just with speaking, but also get these other roles. Approved.

- Email communication in the club. Nancy proposed to put 'Toastmadters' on a subject line to keep emails organized. Uliana suggested to use email filters for that purpose. Mara was concerned with replies that everyone got, instead of replying to the sender only. Uliana suggest to send email to yourself, and put group email to CC, that way the reply will reach sender only. Giri suggested to use BCC for the group email address, that way even the reply all will reach only the sender. Jean said she'll use forward email.

- Leadership planning. Mara presented the logistics page of how we plan to encourage people to sign up for different roles. We discussed the format of it, and suggested to print it on a huge paper, just  like we do with speeches, to put gold stars on it. Jean presented the certificates of completion for those leadership projects. Hilary reported (via email) we have $875 on our account, so we could buy some nice prizes for completion along with the certificates. AP. We need to ask people what kind of prizes they would prefer. AP. Giri will see to print the leadership projects on a big paper.
